Role:

We’re seeking a proactive and highly organized Executive Assistant & Administrative Coordinator to support our three co-founders. This role is essential in keeping our leadership team focused on strategic priorities by managing day-to-day operations, communications, and administrative workflows.

The ideal candidate thrives in a fast-paced startup environment, demonstrates excellent judgment in handling sensitive information, and brings structure to a dynamic workplace.

Key Responsibilities:

Executive Support

  • Manage complex calendars and schedule meetings across multiple time zones.

  • Coordinate domestic and international travel (flights, accommodations, itineraries).

  • Track receipts and process reimbursements.

  • Draft, proofread, and manage correspondence on behalf of the co-founders.

Administrative & Operational Support

  • Organize and maintain digital files, records, and knowledge bases.

  • Take meeting notes, track action items, and ensure timely follow-up.

  • Support onboarding of new team members and contractors.

  • Assist with account setup, compliance documentation, and invoice tracking.

Communication & Coordination

  • Serve as a point of contact between co-founders and internal/external stakeholders.

  • Manage inboxes and communication channels for efficient correspondence.

  • Coordinate across teams to align priorities and keep projects on track.

Compliance & Finance Support

  • Assist with compliance documentation and reporting.

  • Track and organize invoices, contracts, and related documentation.

Preferred Experience & Skills:

  • Prior experience supporting senior executives, ideally in a startup or fast-paced environment.

  • Strong organizational skills with attention to detail and follow-through.

  • Excellent written and verbal communication skills.

  • High level of discretion and judgment when handling confidential information.

  • Proficiency with productivity tools (Google Workspace, DocuSign, HR platforms, invoice management systems).

  • Comfortable navigating compliance and operational processes.
